Introduction to the program
In the early stages of forming a partnership between a medical facility and Whitecap Linen an audit must be conducted. The purpose of this audit is to get a clear understanding of the different departments.
What linens are being used, the different functions of the linen usage, and to establish if any more efficient and cost-effective options exist. The goal is to review industry standards on actual products used, and bench marks of averages used per patient.
This is intended to be an overview to implementing and succeeding with your new Linen Utilization Savings Program. Once we have decided to move forward, we will provide a step by step action and implementation plan. Implementation will require Laundry Personnel, Hospital Executive Leadership, Management, Linen Room Technicians and Supervisors complete support. Initially this will only reflect the opinions and experience from the auditor’s perspective. To develop and execute a flawless linen utilization program, it is imperative that all team members performing any tasks associated with the processing, delivery and packaging of linen supplies are working toward the same goal. Caregivers in today’s industry have received no formal education on proper linen usage, or the costs associated with it. Through our own experiences and results Whitecap can now show, that with the proper presentation and delivery. The nations Caregivers will learn, execute, and participate in building and implementing a Linen Savings Utilization Program. Furthermore, they will contribute and add value increasing the savings initially projected. We can prove that through partnership and commitment, we can assist your Medical Center in experiencing substantial amounts of savings through usage and replacement annually.

gETTING STARTED
- Establish a Linen Advisory Committee.
- Review analysis, proposed changes, and course of action by department.
- Establish departmental contacts associated to the plan.
- Determine if an incentive or accountability program will be implemented.
- Prioritize departments determined by level of difficulty and savings percentage.
- Establish an implementation timeline and goal.
- Coordinate and schedule times to meet with specific departments.
- Propose and educate departments on logic, specifics and savings.
- Provide documents for leadership to round with staff for desired outcomes.
- Schedule a follow up to be conducted after desired change.
- Implement changes on exact date committed or communicate modifications to the plan.
- Attend follow up meeting.
- Review, modify or adjust to any concerns.
- Track daily, weekly, and monthly data to audit results.
- Continue to educate, educate, educate as needed.
This same process will be repeated on every change made. If once implemented, you did not achieve desired results. As a committee we will review and establish the best course of action. Your committee must always remember that this program will only succeed, and thrive through user buy in and participation. Usage habits and practices cannot be achieved by being forced down from the top. There is no way to manage every linen item down to the last washcloth. Our goals will only be meet if the caregivers believe in what you as a team are trying to accomplish.
What does this mean
It is our belief that we have built a program that can finally align our goals, with any standalone facility or systems focused in the Healthcare market. Understanding that this approach is new and can seem to require a lot of extra work. We want to assure you, the work sits on our end and most importantly we only succeed if a member facility experiences the desired savings.

If at the time the audit is conducted we do not see the anticipated savings, then we tell you just that. It would not be in our best interest to misguide, as it directly comes from our pockets.
